This guide will take you through the registration process for the new school year.
STEP 1. MOVE THE STUDENTS UP A GRADE IN THE ACTIVITY SCHEDULER.
A. In the Activity Scheduler, log in as an Administrator and click the Student Eligibility & Information module.
B. In the “Options & Set Up” tab, click the edit icon next to Move Student Up a Grade. Double-check the list, their Actual Grade, and their Upcoming Grade. Then, click the “Move ALL Students Up a Grade” button:
In the “Move Students Up a Grade” section, you will see the students list including the date this function was last used.
Tip! Always check the last operation date to know if another Administrator has used this feature.
Note: Wait for the system to finish the process, do not click the button twice.
STEP 2. CREATE THE “REGISTRATION FORM” FOR THE NEW SCHOOL YEAR IN THE ACTIVITY REGISTRATION PROGRAM.
A. In the Activity Registration, log in as an Administrator and click Set-Up on the top Menu. Then, select Registration Form from the dropdown menu:
B. On the Registration Form screen, click “Copy” to copy the previous registration form and rename it with the new school year (E.g., Bluegrass Student Registration Form 2024-25). Make sure you connect the form to the correct Activity Scheduler, especially for Schools with separate programs for their lower levels. And remember to set the old registration form offline.
C. Close the registrations for different activities for the current School Year. Go to the Registration Form page, click the form name, then click “Set Activities” on the next screen.
D. After all the sports from the current school year are closed for registration, go back to the Season dropdown and select the upcoming school year (E.g., 2024-2025), and click “Filter”:
Note: When you publish the Activities, ensure they have scheduled events in the Activity Scheduler. You may create a temporary dummy event if there is no definite schedule yet.
STEP 3. UPDATE THE INFORMATION IN THE REGISTRATION FORM FROM THE PREVIOUS SCHOOL YEAR TO THE NEW ONE
A. Click on “Manage Webforms” to edit the information.
STEP 4. PUBLISH THE REGISTRATION FORMS
A. On the Registration Form page, publish the forms by setting them online or via a scheduled date. Selecting the “Scheduled” option displays a “change” link in blue that allows you to choose the date.
STEP 5. SET UP FAMILY/INDIVIDUAL MAXIMUMS FOR SCHOOL YEAR 2024-25
A. Click Set-Up on the top menu and choose Discount Settings from the drop-down.
B. Add the title and maximum amount, then select to calculate it by Total Fee or Number of Activities.
C. Set the “Individual Maximum” regardless you have one or not.
Note:This is only applicable to Schools accepting payment through their Activity Registration site.
