Approval Routing of Events

All changes made to Conference and Team Schedules Events in the Activity Scheduler can be routed for approval (This is for Conferences/Leagues with Approval Routing feature enabled).

Conference Commissioners/Master Administrators can view and approve or deny all proposed event changes. To enable this option, set up the "Reviewers" for the activities by going to Set-Up> Setup Schedules Approval Routing (Conference Commissioner approves/denies event changes):


In the Approval Routing setup, there are two options you can choose from — A. Game changes route to all approvers and B. Game changes route to specific approver.


If B is selected, you can set up individual approvers for each Activity type, Activity, Gender, and Level.


To allow Administrators to approve or deny game changes, go to Permissions in the Setup module and open the Administrators list. Then, select the Administrator’s name to edit its permissions:


Once the routing of approval is set and Athletic Directors or School Administrators add games or make changes to the events, these changes or newly added dates are sent for approval. 

In the School level, add a new date or edit an existing game:


Clicking the Reschedule/Cancel link allows you to label the changes made to the event, e.g. Cancelled, Postponed, Time Changed, etc.

Note: If there are any changes to Location Details, Media & Comments, Bus Time, Workers, Set-up and Tear Down, approval is not required.

When Conference Administrators/ Master Administrators click on the event name (Blue link) from the administrative calendar, this page displays:


Another way to approve or deny game changes is to process it via the Pending Changes tab when you go to the Conference module.

Note: If the Conference Commissioner/Master Administrator is the one changing an event, approval is not required.
